1: Woodfield Cottages
The contract for your holiday rental will be between the owners of Woodfield Cottages (referred to as “us” or “we”) and the person making the booking & all members of the holiday party (referred to as “you” “your”or “guests”). The contract is governed by UK law, and the property is to be occupied by the members of the holiday party for a holiday (as per Housing Act 1988 schedule 1 paragraph 9), and the guests acknowledge the tenancy granted by this contract is not an assured tenancy and that no statutory periodic tenancy will arise when it ends. The contract becomes effective when the deposit/payment has been received by us, and receipt of your payment means you have agreed with the terms and conditions. Any provisional booking will be kept for 24 hours from the time of reservation to allow payment to occur, should payment not be received within 24 hours the dates will be released for re-booking.
2: The lead person making the booking must be aged 18 or over
3: Arrival and departure
Guests are welcomed on the arrival date from 3pm onwards, and are asked to vacate the property by 10am on the day of departure. If you require anything different to these standard procedures please let us know and we will do our best to provide these.
4: Smoking
There is a strict non-smoking / non-vaping policy inside the accommodation and pool area. Anyone wishing to smoke / vape is asked to do so within your private patio/garden area. Please fully extinguish your cigarettes/cigars and dispose of in the outside ashtray facility provided.
4a: Antisocial behaviour and misuse of drugs
There is a strict policy that no illegal drugs are allowed on the entire property of Woodfield Cottages, should any guest be found in possession of illegal drugs then all guests associated with that booking will be asked to leave with the rental ceasing immediately and no refund or compensation will be due to the guests.
Should guests behave in an antisocial manner then all guests may also be asked to leave the property and the rental be ceased immediately, no refund or compensation will be due to the guests.
5: We do not accept pets at Woodfield Cottages
6: Payment
When a reservation has been made a payment of 1/3 (33%) of the rental fee is required to secure the booking. Once payment of the deposit has been received by us, we will issue you a receipted invoice and confirm your booking. The balance of the rental is due 7 weeks before the rental commences. Please note we reserve the right to cancel the contract if payment is not received by the due date. If a booking is made less than 7 weeks before the rental commences- the rental balance is due in full at the time of booking.
7: What’s included
All fees quoted are on a self catering basis and includes all linen (except pool towels) , heating, electric, WiFi and cleaning upon departure. We also provide washing up liquid, a dishcloth, tea towels, bin liners, cleaning spray, one toilet roll and one kitchen roll.
8: Cancellation
8.1 (due to Covid)
If you need to cancel your booking as a result of official UK Covid restrictions (i.e/ lockdown) you are entitled to a full refund of any fees paid. This does not cover you or anyone else in the party suffering from Covid or needing to self isolate; it is for this reason and other potential reasons for cancelling that we recommend you take out travel insurance to cover such circumstances.
8.2: (Non-Covid)
You have the right to cancel the contract with the following restrictions :
0-21 days from rental commencing – no refund
22-35 days from rental commencing – 25% refund to customer
36-49 days from rental commencing- 50% refund to customer
50+ days – full refund to customer
We must be notified by phone and this must be confirmed by you in writing by email to info@woodfieldcottages.co.uk or registered post to Woodfield House, High Lanes Road, Praze, Cornwall, TR14 0NH
9: Number of people using the property
The maximum number of guests allowed for each cottage is stated in the description of the specific property on the website www.woodfieldcottages.co.uk . You are free to welcome day guests to Woodfield Cottages by prior arrangement with the property owners; however due to the pool and hot tub not being of a commercial design we are unable to allow any day guests to use the pool or hot tub facilities. Please note these day guests are under your full responsibility and we have the right to ask any guests who do not behave in a reasonable manner to leave Woodfield Cottages.
10: Liability
We believe a safe and protected environment is provided for guests, and we have full insurance if an incident occurs where we were in some way at fault. We are obliged to state use of the accommodation, grounds and facilities at Woodfield Cottages & Woodfield House is entirely at the users risk and no liability can be accepted for death, injury or loss or damage to users or their belongings. No responsibility can be accepted for loss or damage to belongings or vehicles, these are the guests responsibility at all times.
11: Responsibility
You are responsible for the rental property and you are expected to take all reasonable care of its furniture, pictures, fixtures and fittings in or around the property. You must leave them in the same state or repair and tidy condition at the end of the rental period. You must secure the property (including all windows and doors) whenever leaving the property.
12: Damages & Breakages
We understand accidents happen and we ask you to inform us of an incident at the earliest opportunity. We don’t charge for reasonable wear and tear or the odd broken glass or plate. For any significant damage or loss you are legally bound to re-imburse for the replacement, repair or extra cleaning costs – this includes loss of keys. Judgement of what is significant is at the property owners discretion. If you find anything wrong after checking in please report to us at the earliest opportunity to allow us, where necessary, to correct the issue.
13: Circumstances Beyond the Control of the Owner (Force Majeure)
If for any reason we have to cancel your booking in advance due to circumstances beyond our control and provided these are covered by our liability insurance (ie fire, flooded, exceptional weather conditions, epidemics, destruction/ damage to the property – force majeure) you will be refunded the full amount of the booking including deposit / booking fee. We will do all possible to help find alternative accommodation. If we have to terminate your rental early due to any reasons mentioned above – you will be refunded part of the booking based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
14: Complaints
We make every effort to ensure your stay at Woodfield Cottages is enjoyable. Please ensure any issues need to be resolved whilst still at the property, if we are not made aware of problems and guests leave early there will be no refund or compensation.
15: Children
Under no circumstances are children to be left unattended at any time.
